How to manage your Virgin Media email server settings

Here you’ll learn the tools and features you need to organise and manage your emails.

You’ll find out about the specific Virgin Media email settings you’ll need to set up and use email apps like Gmail, Apple Mail or Microsoft Outlook. We’ll also explain the different methods of downloading your emails with IMAP and POP.

Note:

If you use ntlworld or Blueyonder, you must download an email app to view your Virgin Media emails.

For new customers, we can’t create new Virgin Media email addresses, but this doesn’t affect any that already exist.


How to set up a Virgin Media email address on a device

We recommend going to My Virgin Media to see your emails online, this will also give you links to other services and information about your account.

  1. Sign in at  My Virgin Media

  2. Enter your My Virgin Media username

  3. Enter your My Virgin Media password

  4. Once you’re in, go to Quick links at the bottom of the page and select Virgin Media Mail. This will take you to your Virgin Media web mail inbox. Or sign in to Virgin Media web mail by going to mail.virginmedia.com


I have a Blueyonder, ntlworld, or virgin.net address

To get into these accounts, follow the same steps as you would to get into your My Virgin Media account and use your username and password..


How to check emails from another account

Virgin Media Mail allows you to set up your other email accounts so you can check all your emails in one place. 

How to add another email account to Virgin Media Mail

  1. Select Add email account menu on the left-hand menu

  2. Enter the email address and password for the account you want to add and select Add

  3. You’ll get confirmation that your external email account has been set up

How to display messages of an external email account

Each email account you add will have its own folder. Any messages received will be in the correct folder. Or, if you have enabled Unified Mail for the account, you’ll also see the messages in the Unified Mail folder. Go to our Unified Mail in Virgin Media Mail page for more.  

How to send messages using an external email account

  1. Open the folder with the name you’ve given the email account

  2. From a laptop or desktop select Compose, or from a Mobile, tap the pencil icon to start a new email

  3. Write your message, address it, and tap Send when you’re ready

How to change the settings of an external email account

  1. From a laptop or desktop computer, click the cogwheel icon, or from a Mobile tap the top right circle icon

  2. Select the Settings menu option

  3. Select Accounts in the side menu

  4. Select Edit or the pencil icon next to the account you want to change the settings on – this will pop up with the mail account settings

  5. Change the settings as necessary

  6. Select Save at the bottom of the window

How to remove an external email account

  1. From a laptop or desktop computer, click the cogwheel icon or from a mobile tap the top right circle icon

  2. Select the Settings menu option

  3. Select Accounts in the side menu

  4. Select the bin icon next to the email account you want to remove


How to set an app password to use an email app

To set up Virgin Media email on an android or iPhone email app, you need to create a separate app password through Account settings on the My Virgin Media app.

To get the password, follow these steps:

  1. Sign in to My Virgin Media on the app

  2. Go to Account settings, then Account details.

  3. Under Virgin Media Mail, tap Manage next to Manage your Virgin Media Mail app password.

  4. Under Virgin Media Mail app password, tap Generate new App password and follow the instructions.

A new secure app password will be generated for you, you can use it in all apps that access your Virgin Media mail address. If you create a new app password, you’ll need to update all your existing apps with the new password.

Your separate app password will help make things more secure as IMAP and POP don’t use extra protection like Multi Factor Authentication.

Remember that this password is separate from your sign in details for My Virgin Media (or any Virgin Media apps). So, if you need to check your Virgin Media Mail emails through My Virgin Media or at mail.virginmedia.com, you'll still use your My Virgin Media password.


How to connect your Virgin Media email address to another email app

Each email app is slightly different, but to set them up you need the right settings and your Virgin Media email address and Virgin Media Mail app password.

IMAP settings (recommended)

  • Host name: imap.virginmedia.com

  • Username: your Virgin Media email address 

  • Password: your Virgin Media email app password 

  • Advanced settings SSL encryption: enabled 

  • Port: 993 (this may be automatically chosen by selecting SSL encryption)

POP3 settings

  • Host name: pop3.virginmedia.com

  • Username: your Virgin Media email address 

  • Password: your Virgin Media email app password 

  • Advanced settings SSL encryption: enabled 

  • Port: 995 (this may be automatically chosen by selecting SSL encryption)

SMTP settings

  • Host name: smtp.virginmedia.com

  • Username: your full Virgin Media email address 

  • Password: your Virgin Media email app password 

  • SSL encryption: enabled 

  • Port: 465 (this might not be selected automating by enabling SSL, so please check) 

  • Authentication: Password

Remember to save your settings if the apps ask you to.


Emails settings FAQ

This should be highlighted in the settings in your email app or webmail inbox.

IMAP always syncs with the server – changes you make in your email app on your device will also appear if you access your mail through your webmail or through another app on different devices.

If you regularly use an email app, we recommend using IMAP with an app that supports SSL. SSL (Secure Socket Layer) ensures everything that passes between the email server and your email client is encrypted.

Apps must also support SMTP authentication. This is to reduce the affect spammers can have on the service. SMTP (Simple Mail Transfer Protocol) is authentication to stop email from being sent anonymously.

Without SSL support and SMTP authentication you may not be able to set up your email app, and you'll get error messages when trying to send or receive emails from a Virgin Media email address.

POP3 syncs with the server differently to IMAP, so changes you make in your email app will not be transferred to your inbox in webmail and other apps, and mails you send will only be on the device they were created on.

Note that with Virgin Media email, if you are using POP3, if you delete an email from your email app on one device, it won’t be deleted from the server and will still be visible in webmail or other client apps you use to access the same email account.

There are some settings you can change.

The email address you use to sign in to My Virgin Media with:

  1. Sign in to My Virgin Media using your current details

  2. Select Account settings

  3. Tap on Account details

  4. Select Edit, it’s next to your email address

The way emails are automatically listed by when they arrive in your inbox:

  1. Select the Sort by option at the top of the message list

  2. Select Conversations option to turn this feature on or off

Your email layout:

  1. Select the View option

  2. Choose which layout you want

Adding a Unified Mail folder will give you an overview of all your inboxes but not the subfolders.

This will only work if you’ve added another email account by going to the Email folder’s view, selecting Add email account, entered your other email address and its password, and selected Add.

On the site:  

  1. Select the cogwheel icon

  2. Select settings, then Accounts

  3. Choose your added Mail account

  4. Then Edit

  5. Select Use Unified Mail for this account 

  6. Make sure you select Save

For mobile:

  1. Tap the top right circle icon

  2. Select Setting, then Accounts

  3. Choose your added Mail account

  4. Select the pencil icon

  5. Select Use Unified Mail for this account

  6. Make sure you select save in your email folder view

Once that’s done, expand your Unified Mail folder and you’ll see your combined messages. Look to the right of the email subject lines for a label naming the email account they were sent to. Those using the name of your Primary Account were sent by the address you’re signed in with.

If you change any email settings within My Virgin Media, or an email app that your My Virgin Media email is connected to, double check you save the changes before closing the window. If that doesn’t work, you may need to sign out and then sign back in again, or if you’re using it on your mobile or tablet, delete the app, then reinstall it, and try again.
